· Tom Behan moved a motion to accept minutes, second by Ed Freeborn. Motion passed by acclamation.
· Problems/omissions/problems
- Needed to acknowledge Horace Shaw and staff of Continuing Education
- Steve DeGloria suggested should have acknowledged NYC firefighters. Tom Henderson commented that many others were also intimately involved: perhaps more appropriate to acknowledge all participants in NYC clean up/rescue efforts as a group.

- Overwhelmingly positive response
- Good speakers, good program
· Suggestions/comments from Horace Shaw
- Efficient convention services caterer
- Of catering options, Sodexho was most responsive and was good
- Some hall concerns (lack of lighting, noise), but did not have problems with room
- Definitely needed the extra room for food (achieved by combining two rooms)
- Some parking inconveniences as compared to a hotel
- Need to make 2003 reservations ASAP to have flexibility
· Audio visual comments
- CE supplied all AV except PA
- Using location equipment is budget dependent – larger function, consider outsourcing, especially if there are concurrent sessions
- Consideration of staff availability
- Need to obtain remote/wireless mouse for advancing slides
- Everyone should use a microphone, clip-on worked well, podium microphone was less pleasing
· Sessions
- Limit to three speakers per session – allow more time flexibility
- Enforce presentation times – difficult to enforce with invited speakers
- Some criticism that PM sessions were too focused, but the program was intended to be RS focus not just broad overview
· Venue
- Lacked convenience of hotel – e.g. parking
- May get better accommodation prices with hotel package
· Exhibitors
- For NYSGIS, exhibitors subsidize overall costs – charge $495/booth
- NYSGIS has continually increasing number of exhibitors
- Need to know what hotel will charge for space/food/equipment to set a rate – could start by charging exhibit fee at cost rate
- Tie exhibit area to break area
· Intro to RS track
- Possibly need introductory sessions/workshop
- NE GIS conference has RS workshop – possible model
· Call for papers for RS 2003
- Focus call for papers on members of ASPRS (in CNY and other regions)
- Consider offering posters to abstracts not suited for presentations
· Location
- Consider balance to location of NYSGIS?
- Albany hits lots of NYS employees
- Vary location to make conference within commuting distance at various times
- Consider co-locating with GIS SIG in June

- National May 3-9 2003
- Need to go earlier or later?
- Good to tie in to Annual meeting – encourage national representatives
- Could have annual meeting as lunch to reduce time

- This year had good quality of applications

- Handbook should document responsibilities, guidelines, etc.

· Planning for 2002 GIS Conference
- Ed Freeborn, Paul Hopkins and Art Lembo are on GIS 2002 planning committee
- Planning well underway, most issues decided
- ASPRS presence through workshop e.g. subsidize through National rebate
- Decision to focus on RS Symposium for now, but enhance involvement in workshop committee
· Planning for 2003 Remote Sensing Symposium
- Co-location with GIS SIG? Tom Henderson and Ed Freeborn to follow up and document pro’s and con’s
- Current by-law revision changes election dates to “spring” – provides needed flexibility
