Academic Probation and Suspension

Academic Probation

Undergraduate Students
Undergraduate students who earn less than a 2.000 cumulative grade point average are placed on academic probation.

Graduate Students
Graduate students who earn less than a 3.000 cumulative grade point average for graduate-level courses, or who receive two or more grades of Unsatisfactory (U) for work on their thesis or dissertation are placed on academic probation or suspended from ESF.

If you are on academic probation, there is no action taken on your SEVIS record as long as you continue to maintain full-time enrollment status at ESF. Failure to maintain full-time status will result in the termination of your SEVIS record; there is no grace period for exiting the U.S. when your SEVIS record is terminated for this reason.

 

Suspension

As academic suspension prohibits a student from registering for at least one semester, a suspended international student must either:

  • Transfer to another school prior to the start of the semester of the suspension (in order to enroll in a full-time course load and maintain SEVIS status) so that there is no interruption of study; or
  • Exit the U.S. (as the SEVIS record will be terminated due to failure to enroll) by the effective date of the suspension or denial of an appeal
    • Failure to exit immediately would be considered an unlawful exit and may impact your ability to enter the U.S. in the future.

Every student suspended is given the opportunity to appeal the suspension based on any extraordinary conditions that may have contributed to the unsatisfactory performance. This appeal must be made in writing and submitted within the stated time limit in accordance with guidelines provided by the Office of Instruction and Graduate Studies. Each appeal will be reviewed by the Faculty Subcommittee on Academic Standards which will recommend to the dean of Instruction and Graduate Studies either to sustain the suspension or place the student on probation. The dean of Instruction and Graduate Studies will inform each student in writing of the Subcommittee action. There is no appeal beyond this process.

Students suspended for a second time for unsatisfactory academic performance may not be considered for readmission.

 

Readmission After Suspension

Undergraduate Students
Suspended students who wish to be reinstated must apply for readmission through the Office of Counseling Services.

Graduate Students
Suspended graduate students who wish to be readmitted must apply for readmission through the Office of Instruction and Graduate Studies.

If readmitted, you will be required to submit proof that you have sufficient funds available to cover all expenses for one year of your academic program (F-1 students) or the duration of your academic program (J-1 students); financial proof should be submitted to the Coordinator of International Education. It sufficient proof is submitted, a new I-20 or DS-2019 will be issued for your ESF program of study.

If you exited the U.S. after your suspension, the new document will be mailed to your home residence. You will be required to pay a new SEVIS fee and obtain a new student visa in order to be eligible for entry to the U.S.

If you transferred to another school, you will have to complete the SEVIS Transfer-In Process. Once you have completed this process and your current school releases your SEVIS record to ESF, a new I-20/ DS-2019 will be issued and made available for pick-up at the Office of International Education.
