Exhibitor Packet

Early exhibitor fee is $625 by 9/10 or $655 after 9/10. Includes one full registration for the person in the booth with meals, booth space, pipe and drape, sign, skirted table, chair, waste receptacle.

• REGISTRATION
• Pre-register online:VISA or MasterCard only (online help) or register with a printable registration form—Word, PDF: fax or mail your form to ESF Outreach. We accept a check payable to SUNY Research Foundation, voucher or purchase order.
• Lodging – Get a room prior to the cut-off of September 5th!
• Booth Services - Forms are due by September 30, 2008.

Exhibit Setup and Schedule

• Set up Sunday from 6:00 PM - 9:00 PM
• Set up continues on Monday from 7:00 AM - 9:00 AM.
• Exhibit area is open Monday 10:00 AM - 6:30 PM and Tuesday 8:00 AM - 2:00 PM.
• Exhibitor Tear down is after 2:00 PM on Tuesday.

Advance Shipping - to the Decorator's Warehouse

Please use the shipping label for packages with the following information:

• From: Exhibitor's Name/Address/Contact Name
• To: Northeast Decorating, 225 Wilkinson Street, Syracuse, N.Y.  13204. ALL FREIGHT MUST be sent in ahead of time to the decorator's warehouse and attach a Shipping Label. A Drayage Form must be completed and faxed.  This is the decorator's ONLY notice, that freight is coming. Be sure to mark each box shipped: "NYS GIS Conference, October 6-7, 2008”.

Sponsor Ads in the Printed Program - Due by September 10, 2008

All ads should be submitted in one of the following formats:  PDF, EPS, TIFF. Please be sure to embed the fonts when using the PDF format. Quality: For maximum quality, all ads should be a 300 dpi.
Sizes:

Full Size:  7 1/2" x 10"
Half Size:   7 1/2" x 4 3/4" or 3 1/2" x 10"
Quarter Size:  3 1/2" x 4 3/4"

Our Payment Policy

We welcome your participation at Outreach events.  Pre-registered, pre-paid registrants are asked to check in at the onsite registration desk to receive a name badge and any handouts. Effective May 2008, registration fees must be paid prior to admittance.

• If you have pre-registered and have a balance due, please be prepared to make your payment at the onsite registration desk.  We will accept a personal or business check, payable to SUNY Research Foundation, or VISA or MasterCard (Sorry, no American Express).

• Registrants using a Purchase Order or Voucher are asked to provide the PO/Voucher number as well as a credit card number.  If payment is not received within 30 days after the event, your credit card will be charged the appropriate fee.

• If you have not pre-registered, please bring a completed registration form with your payment (check, VISA or Mastercard) to the onsite registration desk (blank registration forms will also be available at the registration desk for your convenience).
