About the Gateway Center

The Gateway Center is emblematic of ESF's commitment to teach "green" by being "green". Designed to achieve LEED Platinum Certification, Gateway is envisioned as a "building that teaches."

Gateway Center Scheduling Coordination

Welcome to ESF's new Gateway Center! The following information will provide details for ESF departments/offices, as well as non-ESF organizations, on the building and on placing a reservation for use of the event space.

ESF Outreach is currently scheduling the following Gateway Center spaces:

  • Gateway Event Rooms
    The event space is comprised of one large hall that may be divided into three separate spaces (referred to as Gateway Center Event Rooms A, B and C). Available room configurations are:
    • Room C
    • Rooms A/B combined
    • Rooms A/B/C combined
    Room capacities vary based on room configuration and setup requirements. Please see the Gateway Event Room Floor Plans/Formats table below for more information.
  • Green Roof
    The Green Roof, located on the second floor of the building, features a walk-out observation deck that showcases native Central NY plantings and offers a spectacular view of the rolling hills to the West.
  • North Concourse
    The North Concourse is an indoor area immediately adjacent to the event space that is most commonly used for event registration and receptions.
  • Catering Kitchen
    The Catering Kitchen is adjacent to Event Room C and can facilitate outside caterers and basic food preparation. Outside access is available.
  • Outreach Training Room (rm. 240)
    The Outreach Training Room is located on the second floor of the Gateway Center, and has a boardroom-style setup that seats up to 15 people. The room is equipped with a projector and screen, and a conference telephone can be made available.
    • Please note that the Outreach Training Room is NOT reserved via the ESF Spaces campus room reservation system. Individuals interested in reserving the Outreach Training Room should contact Lauren Gibbs, Gateway Center Scheduling Coordinator.

Scheduling

ESF and non-ESF entities may schedule Gateway Center spaces contingent upon availability of space and support resources.

Priority Scheduling

  • First priority will be given to the Admissions office for prospective student open houses and the Student Affairs office for their major annual events
  • Major college events that occur annually during spring break and summer will have next priority
  • Major college events that occur annually during the academic year will have next priority

Should a conflict emerge for which the parties involved cannot reasonably and satisfactorily reach resolution, the College President will be consulted to ensure that College strategic priorities are being appropriately considered.

All reservation requests must be entered via the "Spaces" campus room reservation system. The Spaces system accepts all related details.

Open Scheduling

After the initial scheduling of College priority events is complete, other ESF and non-ESF entities may schedule Gateway Center spaces contingent upon availability of space and support resources.

Some distinctions, by necessity, are made between ESF and non-ESF use of the Gateway Center spaces. Key distinctions are outlined below:

Plan Ahead!

  • All requests for Gateway space must be made at least 4 weeks in advance of the event.
  • Events requiring special consultation and custom set-ups must be made at least 8 weeks in advance.
  • Off-campus groups may be "bumped" by a major College event up to three months prior to the scheduled event.
  • All reservation requests must be entered via the "Spaces" campus room reservation system. The Spaces system accepts all related details.
ESF Events

An ESF event is one that emanates from one of the following individuals/departments:

  • Academic Department Chair
  • Dean, Student Affairs
  • Associate Provost Instruction/Dean, Graduate School
  • Associate Provost Outreach
  • Vice Provost Research
  • Provost/Vice President Academic Affairs
  • Vice President Enrollment Management
  • Vice President Administration
  • College President

Any associated costs and liabilities for Gateway Center use are the responsibility of this individual/department (see table: Gateway Center Scheduling Coordination Summary Table (PDF).

Non-ESF Events

A non-ESF event is an ESF mission-allied event that emanates from a non-ESF organization. Any associated costs and liabilities for Gateway Center use are the responsibility of this organization (see Gateway Center Scheduling Coordination Summary Table (PDF).

Fees have been established for Gateway Center use. View the current rates:

Alcohol at Events

ESF Faculty and Staff members may submit a request to serve alcoholic beverages at Gateway Center events. Please consult the ESF policy governing the use and distribution of alcoholic beverages for pertinent details. Once a reservation is approved, an Alcohol Request form must but completed and emailed with any attachments to the Outreach office—lmgibbs@esf.edu—at least 30 days prior to the event.

  • Non-ESF groups are prohibited from serving alcoholic beverages at Gateway Center events.

Event Space Notes

  • Trash and recycling containers are provided for events if food and/or beverages are served.
  • A coatroom is available.
  • Tablecloths are not available through ESF.
  • Candles are not permitted.
