April 2021 Civil Service Employees Association (CSEA) Longevity Lump Sum (LLS) Payment

The April 2021 LLS Payment will be processed in separate paychecks dated 4/28/2021. Due to the issues surrounding COVID-19, OSC will process this payment via direct deposit. For employees who do not have direct deposit, this payment will be processed in a separate paycheck.

Note: The distribution of the LLS direct deposit will be the same as an employee's regular paycheck.

April 2021 Civil Service Employees Association (CSEA) Performance Advances

The April 2021 CSEA Performance Advances will be paid using the following effective date 4/1/2021 and check date 4/28/2021.

NYS Payroll Online 2020 state W-2

NYS Payroll Online users can access their 2020 W-2s through NYSPO starting Friday, 01/08/2021.

2021 Paid Family Leave Rate Increase

Effective for all 2021 paychecks, as of Administration check date January 6, 2021, the 2021 premium rate and the maximum weekly employee contribution for coverage will be 0.511% (0.00511) of an employee’s weekly wage. The maximum employee premium deduction for Paid Family Leave will be $385.34 per year.

Effective for payroll checks dated January 6, 2021, the bi-weekly deductions for CSEA Dues will be increased as follows:

Note: The annual salary amounts above exclude additional salary factors. Dues amounts for employees who receive an increase to base salary, Increment, or Longevity Pay with an effective date after January 1, 2021 will remain at the same amount for the calendar year 2021. Dues amounts for part-time, annual salaried employees are calculated based on the employee’s part-time percentage.
The deduction amount for hourly and per diem employees should have Dues (code 475) deductions at 1.3% of biweekly gross salary, not to exceed $32.28 and exclude location pay and overtime.

2021 Retirement Plan Contribution Limits

The retirement plan contribution limits for 2021 have been released: 2021 Cost of Living Adjustment.  SUNY provides employees with the opportunity to save for their retirement through the SUNY Voluntary 403(b) Savings Plan please review the 2021 Universal Availability Notice for more information. Opt out of receiving paper Form W-2

Employees participating with New York State Payroll Online (NYSPO) can elect to opt out of receiving a paper Form W-2 statement. The consent will apply to all future Form W-2 statements until consent is withdrawn or the employee is no longer an active employee.

State paper checks/Direct deposit

If You Don't Have Direct Deposit Your Pay Check Will Be in the Mail.  Due to COVID 19 paper checks will no longer be available to be picked up on campus and will be mailed directly to your home address on file. If your address on your check is not correct, please complete the address correction form and submit it to the payroll office. Employees who are not already using the direct deposit option are encouraged to sign up for it. Complete the State direct deposit form and drop off or mail it to the payroll office. If you have had direct deposit for a past state appointment and have no changes, please submit only the completed direct deposit reactivation form. Please note that state direct deposits go inactive after three pay periods (six weeks) of inactivity and need to be reactivated upon your return to state payroll.

Student Assistant and College Work Study Online Time Sheet All Student Assistant and College Work Study employees will use the ONLINE SUNY time and attendance System (TAS) to input their hours worked.  Student employees can find instructions on how to log in and record hours worked here. 10/7/2020
Voting Law Amendment Election Law Amendment signed into Legislation on April 3rd. This amendment reverts to the old voting leave law regarding employee time off to vote. The amendments to the voting leave law are effective immediately and employees are now entitled to 2 hours paid time off to vote in federal, state or local elections, both primary and general and such paid time off is only required if the employee does not have sufficient non-worked time to vote. Employees are required to request time off between 2 and 10 days before an election. The presumption that an employee has sufficient time to vote if there are at least 4 consecutive hours either before or after the employee's shift when polls are open was re-inserted into the statute.

  • Attention Research Foundation employees who receive paychecks in paper form: Effective April 24th, 2020, Key Bank will be printing our payroll checks going forward; no checks will be mailed from Albany.

    Key Bank will be printing and mailing your paycheck each Thursday of pay week from Indiana, which may delay the receipt of your paycheck.

    We urge you to sign up for direct deposit.

    To opt-out of receiving a paper check, follow the instructions below:
    1. Log-in to RFSUNY Portal.
    2. Select ‘Information for Employees
    3. Select ‘Self Service’ (The first time you log in, you will need the last 4 digits of your SSN and your RF Employee ID number, which may be found on your current pay statement/direct deposit advice.)

    If you wish to continue to receive pay checks please log in to the self serve portal to confirm your address is updated and correct.

    NYS W-2 Distribution The agency address will be used as the return address for the 2019 Form W-2 Statements.
    For employees who did not opt out of receiving a 2019 paper form W-2, OSC will mail Form W-2 to employee's mailing address currently listed in PayServ. If no mailing address exists, the form will be mailed to the employee's home address. Note:; IMPORTANT TAX DOCUMENT ENCLOSED will appear on the outside of the Form W-2 Statement.

    Research Foundation Employees 2019 W'2s 2019 W2's are now available for Research Foundation Employees. Hard copies will be mailed no later than January 31st 2020. These can be viewed through the self-service portal. Also while you are there, please help the environment by updating your "contact information" and changing your W-2 print option to "NO". This will impact 2020 only.

    Original Documentation Required Sending information via email, is not a secure way of submitting personal information. The Payroll office strives to keep all employees records confidential and secure. Therefore, please do not email personally identifiable information (PII) via this form of communication. We require original documents in-order to process certain requests.

    PII refers to information that can be used to distinguish an individual's identity, either alone or when combined with other personal or identifying information that is linked to a specific person. i.e.: Social Security numbers, banking information, tax documents or other id's associated with one's name.

    Paycheck Checkup The IRS has issued several reminders advising taxpayers to do a Paycheck Checkup. Taxpayers can use the IRS Withholding Calculator to assist in determining the correct amount of tax that they should have their employer withhold from their paychecks. Checking and adjusting tax withholding as early as possible is the best way to avoid having too little or too much tax withheld from paychecks. Too little withheld could result in an unexpected tax bill or penalty at tax time next year. 6/18/2019
    Direct Deposit Fraud Alert There has been a recent increase in fraudulent direct deposit forms submitted to agency payroll offices by fax and hacked email accounts. Upon receipt of ANY direct deposit request, SUNY ESF PAYROLL OFFICE will contact the employee by telephone, email or in person to verify they submitted the request before entering the transaction into the system. These measures will help ensure the employee's earnings are not deposited into a fraudulent account. 6/18/2019
