Regulations and Application Procedures

Application Deadline: Open but the number of awards is limited.

Purpose: The GLRC Student Travel Award is designed to promote student attendance at the local, national and international conferences by subsidizing a portion of the costs of travel to and from the meeting. Student participation at such conferences is integral to the students' education and it is expected that the student will attend the entire conference to take advantage of the many educational opportunities afforded by attending these meetings.

Number and Value of Awards: Within its budgetary limits and terms of reference, GLRC will reimburse up to $100 for local meetings and up to $250 US per person for the costs associated with attendance at national and international meetings.

Eligibility: To be eligible to receive a NY-GLRC Student Travel Award, an individual must be a student enrolled in one of the GLRC member colleges. Unfortunately our canadian affliatiates are ineligible to apply at this time. Students must be an author on a presentation (oral or poster) and must acknowledge support from the GLRC on that presentation. This is usually done by incorporating the GLRC logo into the presentation along with the statement "Travel support to XYZ. Student was provided by the NY Great Lakes Research Consortium".

Application Procedures: Application is made on a one-page application form, completed by the student and endorsed by their advisor or sponsor. Group applications (several students planning to travel in a single vehicle) are encouraged.

Applicants must register for the conference by the registration deadline to remain eligible for the award.

Criteria for providing funding: Funds are limited and partial awards may be given. Students who plan to travel in groups to economize will receive higher priority than individuals traveling alone. Preference will be given to individuals presenting at the conference but non-presenters who are included on abstracts and presentations are also encouraged to apply. No distinction will be made between poster and oral presentations. Higher priority will be given to students traveling greater distances with demonstrated need that cannot be meet by other sources.

Terms and Conditions of Awards: All travel awards will be provided after the conference. To receive a check for their award, winners must submit travel receipts or verified documentation of their costs to the GLRC Office. These receipts include a confirmation of registration for the conference, a copy of the abstract and a completed travel reimbursement form (an original signature is required). Reimbursements will be made to students for actual travel expenses such as gasoline and tolls or mileage at the fleet rate of $0.40 per mile. Registration fees, housing costs and abstract submission fees are also eligible for reimbursement. Meals and per diem expenses are not eligible.
